1. About this policy

Wee Kare Learning Center ("Wee Kare," "we," "us," or "our") is a licensed child care and early learning provider located at 371 Main St, Deltona, Florida. We have served families in the West Volusia community for over [25] years.

This Privacy Policy explains what information we collect from visitors to our website (weekarecenter.com), from people who contact us or respond to our advertisements on Facebook, Instagram, or other platforms, and from families who inquire about or enroll in our programs. It explains how we use that information, when we share it, and what choices you have.

This policy covers our website, our online inquiry and lead forms (including forms hosted on Facebook and Instagram), our email, phone, text message, and WhatsApp communications, and our social media pages.

Records for children who are actively enrolled in our programs are also governed by your enrollment agreement and by applicable state and federal law. Section 8 explains how those records are handled.

2. Information we collect

Information you give us directly

When you contact us, submit an inquiry form on our website, respond to one of our advertisements, call or text us, or message us on Facebook, Instagram, or WhatsApp, we may collect:

  • Your name
  • Your phone number
  • Your email address
  • Your child's age or age range
  • The program you are interested in (VPK, infant, toddler, Pre-K, before/after school, summer)
  • Your desired start date and schedule
  • The school your child attends, if you are asking about before or after school care
  • Any additional information you choose to share with us, such as questions, allergies, accommodations, or other needs

When you enroll a child, we collect additional information as described in Section 8.

Information collected automatically when you visit our website

When you visit weekarecenter.com, certain information is collected automatically through cookies and similar technologies:

  • IP address and general location (city or region level)
  • Browser type, device type, and operating system
  • Pages you viewed, links you clicked, and time spent on the site
  • The website or advertisement that referred you to us

Information from advertising and analytics tools

We use the Meta Pixel, a small piece of code provided by Meta Platforms, Inc. (Facebook and Instagram). It tells us how many people visited our site after seeing one of our ads and helps us show our ads to people who are likely to be interested in our programs.

We may also use [Google Analytics / other analytics tools — remove this sentence if not applicable] to understand how visitors use our site.

Information from lead forms hosted on Facebook and Instagram

Some of our advertisements use Instant Forms, which are forms that open and are completed inside Facebook or Instagram rather than on our website. When you submit one of these forms, Meta provides us with the information you entered, and may pre-fill some fields (such as your name, email address, and phone number) from your Meta account profile.

Information you submit through an Instant Form is collected and stored by Meta before it reaches us, and Meta's own privacy policy governs their handling of it. You can review it at facebook.com/privacy/policy.

3. How we use your information

We use the information described above to:

  • Respond to your inquiry about enrollment, availability, tuition, or programs
  • Contact you by phone, text message, email, or WhatsApp about your inquiry
  • Schedule and confirm tours of our center
  • Send you information about our programs, openings, VPK eligibility, and enrollment steps
  • Help you understand and complete state VPK or School Readiness eligibility processes
  • Determine whether we can meet your child's needs and place your child in an appropriate program
  • Improve our website, our programs, and our communications
  • Measure how our advertising performs and show relevant ads to people who may be looking for child care in our area
  • Comply with our legal, licensing, and record-keeping obligations

4. Advertising on Facebook, Instagram, and other platforms

We advertise on Meta platforms (Facebook and Instagram) and may advertise on other platforms in the future.

  • We do not upload your personal information to advertising platforms in order to target ads at you individually unless you have given us permission to contact you and we are reaching out about your existing inquiry.
  • The Meta Pixel on our website may allow us to show ads to people who have previously visited weekarecenter.com. This is commonly called retargeting.
  • We may create audiences of people who are similar, in aggregate, to families who have contacted us. These audiences do not identify you personally to us or to anyone else.

How to limit ad tracking: You can control how Meta uses your information for advertising in your Facebook or Instagram Settings under "Ads." You can control cookies through your browser settings, and you can opt out of many forms of interest-based advertising at optout.aboutads.info and youradchoices.com.

5. Text messages, phone calls, and WhatsApp

When you give us your phone number through a form, a call, or a message, you are agreeing that Wee Kare Learning Center may contact you by phone call, text message, or WhatsApp about your inquiry, program availability, tours, and enrollment.

  • Message and data rates may apply.
  • Message frequency varies.
  • You can opt out at any time by replying STOP to any text message, by telling us on a phone call, or by emailing us at WeeKareCenter@outlook.com.
  • Opting out of marketing messages will not stop essential messages about a child who is actively enrolled, such as closures, emergencies, or billing.

We do not sell or share your phone number with third parties for their own marketing.

6. When we share information

We do not sell your personal information. We do not share it with anyone for their own marketing purposes.

We share information only in these limited circumstances:

  • Service providers. We use trusted vendors to operate our business — for example, our website host, email provider, child care management or billing software, and communication tools. They may access your information only to perform services for us and are not permitted to use it for anything else.
  • Advertising and social platforms. As described in Sections 2 and 4, Meta processes information submitted through Instant Forms and information collected by the Meta Pixel.
  • State agencies and licensing authorities. For enrolled children, we share required information with the agencies described in Section 8.
  • When required by law. We will disclose information if required by law, subpoena, court order, or a lawful request from a government or licensing authority.
  • Health and safety. We will disclose information when we believe in good faith that it is necessary to protect the safety of a child, our staff, or the public. As mandatory reporters under Florida law, our staff are required to report suspected child abuse, abandonment, or neglect to the Florida Abuse Hotline.
  • Business transfer. If Wee Kare is ever sold or transferred, family records may be transferred as part of that transaction. We would notify enrolled families before this happened.

7. Children's privacy

Our website and our advertising are directed to parents, guardians, and caregivers — not to children. We do not knowingly collect personal information online directly from children under 13.

Information about a child that we receive through our website, an ad, or an inquiry form is information that a parent or guardian chose to provide to us. If you believe a child has submitted information to us directly, please contact us at WeeKareCenter@outlook.com and we will delete it.

8. Records for enrolled children and families

Once a child is enrolled, we collect and maintain the records required to care for that child and to comply with licensing and program requirements. These may include enrollment and emergency contact forms, immunization and health records, allergy and dietary information, authorized pickup lists, attendance records, developmental and progress observations, incident reports, photographs, and billing records.

These records are kept confidential and are shared only with:

  • Your child's teachers and Wee Kare staff, on a need-to-know basis
  • Parents and legal guardians, and individuals you have authorized in writing
  • State and local child care licensing authorities, including the Florida Department of Children and Families and any applicable local licensing agency, during inspections and investigations
  • The Florida Division of Early Learning and the Early Learning Coalition of Flagler and Volusia, for children participating in the VPK program or receiving School Readiness assistance, as required to administer those programs
  • Emergency medical personnel, if your child requires emergency care
  • Others as required by law, including mandatory abuse reporting

Photographs and videos. We ask for your written permission before using any photograph or video of your child in our marketing, on our website, on social media, or in advertising. You may decline, or withdraw your permission at any time, and it will not affect your child's care in any way. Photographs shared privately with you about your own child are not covered by this section.

9. How long we keep information

  • Inquiries that do not lead to enrollment: we keep your contact information for up to [24] months so we can let you know when spots open, unless you ask us to delete it sooner.
  • Leads submitted through Meta Instant Forms: Meta makes this data available to us for 90 days, after which we retain only what we have exported into our own records.
  • Records for enrolled children: we keep these for as long as your child is enrolled and afterward for the period required by Florida child care licensing rules and by the VPK and School Readiness programs, and as needed for tax, insurance, and legal purposes.

10. How we protect information

We use reasonable physical, technical, and administrative safeguards to protect the information we hold. Paper records are kept in locked storage at our center. Digital records are kept in password-protected accounts, and access is limited to staff who need it.

No method of transmitting or storing information is completely secure, and we cannot guarantee absolute security. Please do not send sensitive information such as Social Security numbers or financial account numbers by email, text message, or social media message.

11. Your choices and your rights

You may at any time:

  • Ask what information we have about you. Email WeeKareCenter@outlook.com and we will tell you.
  • Correct information that is inaccurate.
  • Ask us to delete your inquiry information. We will do so unless we are required to keep it — for example, records for a currently or previously enrolled child that we must retain under licensing rules.
  • Stop marketing messages. Reply STOP to any text, click unsubscribe in any email, or just tell us.
  • Withdraw photo permission for your enrolled child.

To make any of these requests, contact us using the information in Section 14. We will respond within a reasonable time and will not treat you differently for making a request.

12. Links to other websites

Our website and our social media pages may link to other sites, such as the Florida Family Portal for VPK eligibility, the Early Learning Coalition, or local schools. We do not control those sites and are not responsible for their privacy practices. We encourage you to read the privacy policy of any site you visit.

13. Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will change the "Last updated" date at the top of this page. If we make a significant change to how we handle your information, we will let enrolled families know directly.
